We are currently looking to recruit an experienced Executive Secretary. The primary purpose of this role is to provide administrative support to the COO and its operations, ensuring a seamless flow of activities, and following up with relevant employees and departments as needed to ensure effective delivery of tasks assigned to them.
KEY DUTIES/ RESPONSIBILITIES:
Provides administrative support to the COO while reflecting a professional image of the Organization in personal and phone interactions. Serve as the key contact person for external inquiries via phone, emails and visits and ensure they are responded to with required information or directed to the COO as required.
Participate in various corporate meetings as well as prepare meeting minutes and other requested follow-up documents as directed by the COO.
Record any incoming and outgoing correspondence to keep track record of the document flow across the business unit/department.
Summarizes and sorts the COO calendar and reminds the COO of any urgent emails, meetings or requests.
Draft standard documents, forms and reports as requested by the COO
Performs general clerical duties that include but are not limited to: photocopying, faxing, mailing, and filing.
Creates, transcribes, and distributes meeting agendas and minutes
Scans and forwards the received fax messages to concerned Employees/ Departments.
Creates back up of all received fax messages, compiles the documents for filing and maintains and secures files to protect confidential information.
Sorts and distributes posts/packages to COO or appropriate employee.
Sets up and coordinates meetings.
Coordinate the activities of junior staff in the COO office.
Follow- up on employee requests and inquiries toward support functions as well as ensure they are resolved on a timely basis.
Arrange business travels as well as organize/ order required commuting and accommodation.
Perform any other work related duties as assigned by the COO
QUALIFICATIONS, EXPERIENCE & SKILLS:
Degree in Business Administration, or related discipline
Above 5 years of relevant experience with at least 2 years in similar role
Strong writing and speaking abilities in both Arabic and English
